Privacy Policy

Effective June 13, 2026

This Privacy Policy explains how VIGILO (“VIGILO,” “we,” “us,” or “our”), a Texas healthcare compliance, training, and consulting firm, collects, uses, and protects information when you visit our website or contact us. We are a business-to-business services firm; our site is intended for healthcare administrators and professionals, not for patients or the general public.

No protected health information

VIGILO does not request, collect, or store protected health information (PHI) about patients through this website or its contact forms. Please do not submit patient names, medical records, or any PHI to us through the site. If an engagement ever requires access to PHI, it is governed by a separate written agreement (including a Business Associate Agreement where applicable), not by this Policy.

1. Information we collect

We collect only the information needed to respond to your inquiry and operate our website:

  • Information you provide. When you complete a contact or audit-request form, request a consultation, or email us, we collect the details you choose to share — typically your name, work email address, telephone number, organization or facility name, facility type, role, and the message or compliance question you submit.
  • Automatically collected technical data. Like most websites, our hosting and analytics providers may record standard technical information such as IP address, browser type, device type, referring page, and pages visited, used in aggregate to keep the site secure and to understand general usage.
  • Cookies and similar technologies. We use a limited set of cookies for essential site function and aggregate analytics. You can control cookies through your browser settings; disabling non-essential cookies will not prevent you from using the site.

2. How we use information

We use the information you provide to respond to your inquiry, scope and deliver compliance, training, and consulting services, schedule consultations, send service-related communications you request, maintain the security and integrity of our site, and meet our legal and professional obligations. We process form submissions on the basis of your request and our legitimate interest in operating the firm.

3. How we share information

We do not sell your personal information. We share information only with trusted service providers who help us operate — for example, website hosting, form and email delivery, and analytics vendors — and only to the extent needed to perform those services under confidentiality obligations. We may also disclose information where required by law, to enforce our agreements, or to protect the rights, safety, and property of VIGILO or others.

4. Data retention

We retain inquiry and engagement-related information for as long as needed to respond to you, deliver and document our services, and satisfy legal, tax, and professional recordkeeping requirements, after which it is deleted or de-identified. You may request deletion of your inquiry data at any time using the contact details below.

5. Data security

We use reasonable administrative, technical, and organizational safeguards designed to protect the information you submit, including encryption in transit (HTTPS) and access controls limiting who can view inquiry data. No method of transmission or storage is completely secure, and we cannot guarantee absolute security; please do not send sensitive information, and never PHI, through the website.

6. Your choices and rights

You may opt out of non-essential communications at any time, and you may ask us to access, correct, or delete the personal information you have submitted. Depending on your state of residence, you may have additional rights under applicable privacy law; we honor verifiable requests consistent with those laws. To exercise any of these choices, contact us using the details below.

7. Third-party links

Our site cites and may link to primary sources such as Texas Health & Safety Code Chapter 331, 26 TAC §133.55, HHSC provider letters, The Joint Commission, and OSHA. We are not responsible for the content or privacy practices of those external sites; this Policy applies only to VIGILO’s website.

8. Children’s privacy

Our website and services are directed to organizations and working professionals, not to children. We do not knowingly collect personal information from anyone under 18 through this site.

9. Changes to this Policy

We may update this Policy from time to time. When we do, we will revise the effective date above. Material changes will be reflected on this page; your continued use of the site after an update constitutes acceptance of the revised Policy.

10. Contact us
